1 Who we are and how to contact us
Richard Andrew Kachel, operating in Arizona under the business name Tilt House Hitting (“THH,” “we,” “us”), provides remote baseball and softball coaching through tilthousehitting.com and the Clubhouse at https://member.tilthousehitting.com/. THH is not represented as a separate LLC or a physical training facility.
This policy explains how we collect, use, disclose and retain personal information through our website, enrollment, coaching, communications and community. It also explains how to contact us about your information. It does not serve as a blanket marketing release or replace any consent required by law.

2 Information we collect
Enrollment collects the enrolling parent’s or adult athlete’s name and email and the athlete’s name. For younger athletes, THH uses the parent’s contact email rather than requesting a child’s email. THH plans to request playing level; a formal age-screening or guardian-verification process has not yet been implemented. We also receive account details, enrollment communications, payment status, selected term, support messages and communication preferences. Only information reasonably needed for the stated purpose should be requested.
For coaching, we receive playing-level information, goals, training availability, swing videos, photographs, audio, questions, participation information and coaching feedback. One-on-one lessons generally produce a transcript rather than a full video recording. Videos and transcripts may identify an athlete through their appearance, voice, statements, uniform or surroundings. Please limit submissions to what is needed and avoid including other people without permission.
If you provide information about an injury or training limitation, we use it to address participation and training suitability. Please do not send medical records or detailed diagnoses through community posts. Remote hitting instruction is not medical care.
When you use our website or services, we and our providers may receive technical information, including IP address, device/browser information, access times, pages visited and service interactions. Section 6 explains the tracking practices that apply.
We receive information directly from athletes and enrolling adults, from their activity in our services, and from providers that process payments, host the program or deliver communications on our behalf.
3 How we use information
We use information to match payment to community access, administer membership, provide reviews and monthly programs, run calls, answer questions and maintain necessary business records. THH’s current staff with system access are the owner and one sales representative. Their access should be limited to their responsibilities; the actual account permissions remain subject to verification. Providers also process information for their services. Community members can see shared content, but are not entitled to private billing or administrative records.
We may use information to understand service performance and improve coaching. The specific scope and limits for public Instagram use are described in Section 5. Posting to a community does not transfer ownership of the original footage to THH.
We send account and coaching messages needed to administer the service. THH also uses email to promote its services to members and people who signed up or expressed interest, where permitted by law and subject to required consent and unsubscribe choices. Expressing interest does not replace consent where consent is required. THH does not currently run an SMS marketing program. Providing a telephone number does not authorize automated marketing texts.
4 Payments and service providers
Payment details are collected through the payment provider presented at checkout. THH receives transaction information needed to administer the purchase rather than your full payment-card number.
Checkout may display card, PayPal and Cash App. These are payment methods, not necessarily separate processing arrangements. Stripe was present in the inspected checkout; PayPal is also offered according to THH’s current setup. The provider for a transaction is identified by the payment option and receipt. Provider notices: https://stripe.com/privacy and https://www.paypal.com/us/legalhub/paypal/privacy-full . The complete enabled processor and wallet configuration remains an owner verification item.
GoHighLevel supports THH’s website, customer management, communications and community; members use GoKollab. Zoom supports group calls and separately booked lessons. THH uses Vimeo to create swing breakdowns, downloads the finished video to the owner’s computer, then uploads it to GoHighLevel for playback inside the community; members are not sent a separate Vimeo viewing link. Providers may process contact, account, technical or coaching information for these functions. Whether source recordings remain in Vimeo, local storage or backups, and which service creates lesson transcripts, still requires verification.
We may disclose information when reasonably necessary to comply with law, respond to lawful requests, protect safety or legal rights, investigate fraud or security issues, or handle a business reorganization or transfer with appropriate legal protections and notice where required. We do not authorize unrelated advertising use merely because a provider helps deliver coaching.
5 Athlete footage and community visibility
Assessment videos, Film Room submissions, Wins posts and the related feedback are visible to THH, its authorized team and other members inside the community. They are not private coach-only submissions. Community access is restricted to approved accounts, but another member may copy something they can view.
Posts, comments and questions in community areas are visible to the audience identified for that area. Other members may be able to copy information they can see. Do not post addresses, school schedules, medical details or other information you do not want that audience to know. Members are prohibited from redistributing another athlete’s content without permission.
The entire weekly Zoom group meeting is recorded and its replay posted inside the member community. It may include participants’ images, voices, display names, chat and shared footage. One-on-one lessons generally generate a transcript rather than a full video recording; the transcription service and any AI processing remain to be confirmed. Participants must receive appropriate recording or transcription notice and any legally required consent must be obtained. If nobody attends a group call, the coach may end it. Swing breakdowns may combine submitted clips, screen recordings, the coach’s voice and demonstrations. Group replays and private-lesson transcripts are not automatically authorized for public Instagram use.
Organic Instagram use is limited to Wins and Film Room submissions, for examples of progress, swings, wins and testimonials on Coach Andrew’s Instagram account associated with THH. Initial Assessment submissions and paid ads are excluded. Under the proposed Terms, THH requests permission through enrollment acceptance where that form of permission is valid, and honors a member’s request not to be featured. An authorized parent or guardian must provide any required permission for a minor. Where separate consent is legally required, THH must obtain it before use; posting in a channel or reading this policy alone does not replace it.
Last names and identifying text will be removed or obscured before permitted Instagram use, but an athlete may remain recognizable. Email [email protected] to stop future promotional use; THH records and honors that preference without removing purchased coaching benefits. THH does not promise automatic removal of every previously authorized Instagram post merely because membership ends or a preference changes. However, THH must remove content or stop use when applicable deletion, consent-withdrawal or other legal rights require it. The original permission is not an irrevocable right to use every video forever. Paid-ad testimonials require separate, specific authorization.
6 Cookies and online tracking
Essential cookies or similar technologies may support account access, checkout, security and saved settings. THH currently directs its paid Facebook and Instagram advertising to the United States and has an organic audience internationally. Running ads does not establish whether Meta Pixel, Conversions API or other website tracking is enabled. The exact analytics, tracking categories and consent configuration remain unverified and must be audited before publication.
Browser settings can limit cookies, although blocking essential cookies may affect service functions. A functioning on-site cookie-preference tool has not yet been confirmed. No working cookie-choice link is claimed in this draft.
Responses to browser Do Not Track, Global Privacy Control and other legally recognized opt-out signals remain unverified. They are different mechanisms. Before publication, THH must document the actual behavior and implement any controls required by applicable law; this draft does not assert those controls already exist.
THH does not upload its customer email list to Meta advertising audiences, according to the owner’s confirmed practice. That does not establish whether website integrations disclose visitor data for analytics or advertising. Any sale/sharing or targeted-advertising disclosure must reflect the technical audit and applicable legal definitions, including disclosures without monetary payment. No broad “we never share data” claim is made.
7 Minors and guardian involvement
THH offers coaching to youth, high school, college and professional athletes, including children under 13 and international members. A parent or legal guardian must enroll and authorize a minor’s participation. THH prefers parents to manage younger athletes’ accounts, but intends to allow parent-authorized athletes to upload footage, post in chats, send direct messages and attend calls, subject to law and platform restrictions. The service is therefore not represented as parent-only. Using a parent’s email does not eliminate information collected when a child uses these features.
THH has not yet established a documented under-13 notice and consent workflow. Before collecting information directly from a child under 13, or through a service subject to children’s privacy requirements, THH must determine the applicable rules and implement required notices, verifiable consent, access controls and deletion practices. Collection from an adult about a child and collection from the child are not automatically the same legal situation. Shared communities, direct child use, recordings and tracking must be evaluated separately.
Where verifiable parental consent is required, an ordinary sales call, familiarity with the family or a general membership checkbox cannot simply be assumed sufficient. THH must select and implement an appropriate method, give the required direct notice and retain evidence of valid authorization before the relevant collection or disclosure. This draft does not name a method that has not been implemented.
Children’s information may include names, images, voices, swing footage, messages and coaching feedback, as well as age information if volunteered or needed for lawful access. Playing level alone does not reliably determine whether an athlete is under 13. The known stack includes THH, its owner and sales representative, GoHighLevel/GoKollab, Vimeo, Zoom and selected payment services. The transcript provider and complete list of operators receiving children’s information must be verified, along with required identities, contact details and purposes.
Community visibility and organic Instagram posting are separate disclosures. Where the law requires separate parental consent for a disclosure, THH must obtain it and provide the required choice; the general publicity clause does not override that rule. No private parent-only submission channel has been confirmed, so this draft does not falsely describe the current community as one.
Where applicable, parents retain the right to review their child’s information, refuse further collection or use, and request deletion. THH must implement a child-data retention schedule and appropriate security protections. Neither continued storage in the community nor a publicity clause creates an exception to these requirements.
Parents or guardians may contact us to request review, correction or deletion of their child’s information, or to withdraw permission for further collection or use, subject to applicable law and reasonable verification of authority. If we learn that we collected information without required authorization, we restrict further use and take appropriate steps to delete it or obtain legally valid authorization. Contact us promptly if you believe this has occurred.
8 Retention and deletion
THH keeps coaching history so members can compare earlier swings and feedback with later work. Membership departure ends access but does not currently trigger automatic deletion of posts, submissions or feedback; those materials may remain visible in the community. Whether deleting a platform account also deletes its posts, uploaded videos, transcripts or copies has not been verified. Loss of access and deletion are separate matters.
THH has not yet adopted fixed retention periods for former-member footage, community posts, support records, payment/consent records or backups. Before publication, a documented schedule must identify the purpose, necessary period, deletion trigger and any lawful preservation exception for each category. Retaining everything indefinitely is not presented as a completed compliant policy, particularly for information subject to children’s privacy rules.
Members and authorized parents may ask THH to remove community footage by emailing [email protected], which the owner monitors. THH will process applicable legal deletion and withdrawal requests and explain lawful exceptions, such as necessary accounting or dispute records. Review must include copies THH controls in the community, local downloads, Vimeo, Zoom and any transcription service, as applicable. Other members’ independent copies may be outside THH’s control. Provider backup deletion and timing remain unverified. Public Instagram requests are addressed under Section 5, subject to applicable rights.
9 Your choices and requests
To request access, correction or deletion, email [email protected]. Depending on where you live and which laws apply to THH, you may also have rights to obtain a copy, opt out of specified disclosures or targeted advertising, limit certain uses, withdraw consent, use an authorized agent or appeal a decision. We honor applicable rights and do not deny them merely because they are not individually listed here.
We may request information reasonably needed to verify your identity or authority, but please do not email payment-card details or government identification unless we provide an appropriate secure process. We respond within the time required by applicable law and explain any lawful refusal or extension. To ask us to reconsider a decision, reply to our response or contact the privacy email with “Privacy appeal.” This does not limit available regulator or court remedies.
You may unsubscribe from promotional email through the unsubscribe link in the message or by contacting [email protected]. THH must configure and test that process before sending campaigns. Opting out of marketing does not itself cancel membership or prevent necessary, lawful account communications. Marketing will not be relabeled as service communication to bypass an opt-out. SMS marketing is not currently part of THH’s stated practice.
10 Security and processing locations
THH’s current staff access is limited to the owner and one sales representative, in addition to provider processing and disclosed community visibility. Specific safeguards, account permissions and backup settings have not been verified. The owner reports no two-factor authentication for Zoom, is unsure of GoHighLevel’s setting, and signs into Vimeo through Google; Google sign-in alone does not establish that two-factor protection is enabled. THH must implement appropriate safeguards and incident-response procedures before publication. No transmission or storage method is guaranteed completely secure.
THH operates in Arizona and accepts international members, including members in Japan. Information may be accessed or processed in the United States and other locations used by its service providers. THH has not verified every provider location or applicable international-transfer arrangement. These must be reviewed for the countries served; purchasing from abroad is not by itself consent to waive local privacy rights or proof of valid transfer safeguards.
11 Changes and contact
We update the effective date when this policy changes and provide additional notice of material changes where required. We obtain new consent when legally required; continued use alone is not treated as consent to a new use requiring a separate choice.
